Questions about POS systems for restaurants
What a POS system costs, what the tax office has required since 2025 and what happens when the internet drops out in the middle of service. Answers from the daily routine of restaurants that use M3 Kassensystem every day.
01
Price and contract
What does a POS system for a restaurant cost?
With M3 Kassensystem, the complete hardware bundle costs a one-off €2,990 net — touch till, card terminal, waiter tablet, receipt printer, cash drawer, TSE for five years and on-site setup. On top comes the licence at €49 net per till per month, or €79 with your own restaurant website. Card payments are charged at 2.8% per transaction. For comparison: typical restaurant POS systems cost between €45 and €349 a month, usually without delivery, staff and HACCP features.
Do I need a separate licence for every till?
Yes, the licence is charged per till per month. A waiter tablet that sends orders to the same till is not a second till and doesn't cost a second licence.
What is the difference between €49 and €79?
Both tiers unlock every feature: till, table plan, kitchen, delivery, driver app, Scan & Order, phone orders, reservations, stock, staff and reports. The €79 tier additionally includes your own restaurant website with online ordering under your own web address — guests order directly from you instead of through a portal, and the order lands in the same till.
Online ordering without commission — how does that work?
The €79 licence includes your own restaurant website with online ordering. Guests order under your own web address, and there is no commission per order — unlike with delivery portals. Only card payments via Stripe cost 2.8% per transaction. Every order lands directly in the till and in the kitchen.
How long am I tied in?
Term and notice periods are set out in your individual quote and in the commissioning report. The fixed hardware price is a one-off payment, not a purchase price for the software.
02
Tax office, TSE and till audits
Do I have to report my till to the tax office?
Yes. Since 1 January 2025, electronic recording systems with a certified security module (TSE) must be reported to the tax office. Newly acquired systems must be reported within one month, as must the decommissioning of old systems. We set up the required details as part of commissioning.
Please agree deadlines and details with your tax adviser — the duty to report lies with the business.
What is a TSE and do I need one?
The certified security module, TSE for short, protects every transaction against later changes. Electronic tills in Germany need one. The M3 bundle includes an Epson TSE with a five-year term, already connected when we set up your system.
My TSE is expiring — what do I need to do?
TSE certificates are only valid for a limited time; many first-generation devices from 2020 have already expired. With an expired TSE, the till no longer keeps proper records. The new TSE must be connected and reported to the tax office. When you switch to M3 Kassensystem, a new Epson TSE with a five-year term is included and connected; we prepare the report as part of the setup.
Will electronic tills become compulsory for restaurants in 2027?
The 2025 coalition agreement announces a mandatory electronic till (Registrierkassenpflicht) from 1 January 2027 for businesses with an annual turnover above €100,000. Whether and how the law comes depends on the legislative process. Anyone already using an electronic till needs a TSE, receipt issuing and the report to the tax office anyway — all included in the M3 bundle and taken care of during setup.
Check the state of the legislation with your tax adviser before buying a till.
What is DSFinV-K and can M3 Kassensystem export it?
DSFinV-K is the standard format in which till data must be handed over during an unannounced till inspection or a tax audit. M3 Kassensystem generates this DSFinV-K tax-audit export, along with end-of-day Z reports, the cash book and receipt logs — in order and retrievable, with nobody sorting slips of paper at night.
Do I have to give every guest a receipt?
Yes. Anyone using an electronic till must make a receipt available to the guest — a rule in force since 2020. The guest doesn't have to take it, but it must be offered. Paper or digital are both permitted; M3 Kassensystem prints the receipt or issues it as a QR code.
Whether an exemption is possible in an individual case is decided by the tax office on application — that is something for your tax adviser to clarify.
How long do I have to keep my till data?
Till data is among the records you are obliged to retain; depending on the type of record, the retention periods range from eight to ten years. More important than the exact number is the condition attached: the data must remain machine-readable for the entire period. If you switch tills, you must still be able to keep the old data readable — not just a stack of paper in the basement.
Your tax adviser can tell you the periods that apply to your business.
What happens during a till inspection?
An inspector can turn up unannounced during business hours, ask to see the till and request the data in the prescribed format. With M3 Kassensystem that is an export rather than a search: the DSFinV-K file, Z reports and receipt logs are ready to retrieve.
Do I need procedural documentation?
Yes. Proper till management includes a description of how your business takes payments, cancels, closes the day and archives. This documentation is specific to the business and remains the company's responsibility; we supply the technical details about the system that belong in it.
Is M3 Kassensystem certified by the tax office?
In Germany it is the technical security modules that are certified, not entire POS systems. M3 Kassensystem provides the technical foundations for the TSE connection, DSFinV-K export, receipts and end-of-day closes. The fiscal configuration and the business's procedural documentation remain the responsibility of the company and its tax adviser.

In daily service
What happens if the internet goes down?
The till keeps working locally. Orders, tickets and billing run without an internet connection, and as soon as the line is back, everything syncs up. Features that strictly need the network — online orders, card payments, cloud sync — pause until then.
Can I also handle deliveries and online orders with it?
Yes, and in the same flow. An order is created at the table, on the phone, via QR code or online and runs from there through the kitchen, driver assignment and billing without anyone typing it in a second time. Drivers get their own app with their jobs.
Is M3 Kassensystem right for pizzerias and delivery services?
Yes, that is exactly what it is built for: phone orders with caller ID, online ordering through your own website, pickup and delivery kept separate, a driver app with route and settlement per driver — all in one till. Pizza Arena in Emsdetten and Pizzeria Stefanie in Wettringen run on it.
Do I need a second device for card payments?
No. The bundle includes a mobile Stripe card terminal that works at the till and at the table. Sales and fees sit in the same system as the rest of your day, rather than in a separate statement.
Does the till work in English or Arabic too?
Yes. The interface is available in German, English and Arabic, including right-to-left display and Arabic receipt printing. Tax rate, currency and fiscal requirements are tied to a country profile, not to the product.
What is the difference between M3 Kassensystem and POSLAB?
M3 Kassensystem is the whole system: the Windows till, kitchen and printers, online orders, phone and back office. POSLAB is the waiter app for Android phones and tablets that your team uses at the table. It is part of the bundle and sends every order straight to the till and the kitchen.
04
Setup and switching
How long until I can start?
Ten days at most, counted from the point when the contract, payment or device order, menu data and on-site appointment have been agreed. On request, we accompany your first two days of service right there in your restaurant.
Do I have to enter my menu myself?
No. Menu, prices, tax rates, tables, printers and terminal are all set up before handover. You get a system that's ready to go, not an empty database.
Do you also set up the POS system in Steinfurt, Rheine, Münster or Gronau?
Yes. We set up in person on site — in Ochtrup, Wettringen, Steinfurt, Emsdetten, Rheine, Gronau, Coesfeld, Münster and across the whole of Münsterland. For businesses outside this area we arrange the appointment individually.
Which restaurants in Münsterland use M3 Kassensystem?
Bistrorant Paprika and Villa Dunia in Ochtrup, Pizzeria Stefanie in Wettringen and Pizza Arena in Emsdetten, for example. All four are listed with town and website on our homepage under “References”.
Which businesses is M3 Kassensystem right for?
Restaurants, pizzerias, takeaways, cafés, bistros and businesses with a delivery service. We only take on as many businesses as we can personally set up and support.
